This policy explains what personal data Ensemble collects, why, and what you can do about it. Ensemble is based in London and is the data controller for the information described here. We aim to collect as little as we can.
This site sets no cookies and runs no analytics or tracking scripts of our own. It is hosted on GitHub Pages. GitHub may log your IP address and browser details when you load a page, for security and to keep the service running.
The site loads its fonts from Google Fonts. Your browser therefore sends your IP address to Google when a page loads.
The home page loads a small script from Luma, our event platform, for its event registration button. Loading the page therefore sends your IP address to Luma. If you click the button, Luma’s registration form opens over the page and Luma may set its own cookies under its own privacy policy.
Our newsletter is run on beehiiv. If you subscribe, beehiiv holds your email address on our behalf and may record whether you open emails or click links. We use this only to send the newsletter and understand what readers find useful. Every email has an unsubscribe link, and unsubscribing stops further emails.
Event registrations are handled by Luma. When you register, Luma collects the details on its form, typically your name and email address, and shares them with us so we can run the event and contact you about it.
Some forms, such as applications to our ambassador programme, are hosted on Notion. When you submit one, we receive the details you enter, typically your name, contact details, institution and your answers. We use them to assess your application or organise the event you signed up for, and to contact you about it.
Some of our events are supported by sponsors. When you register for one, you may be offered the option to hear from a sponsor, for example about their promotions, jobs or programmes. This is always optional, and the box is never ticked for you.
If you opt in, we share the details you gave when registering, such as your name, email address and organisation, with the sponsors named on that event page. We share nothing with sponsors if you do not opt in. Once a sponsor receives your details, it handles them under its own privacy policy, and you can ask it directly to stop contacting you or delete your data.
If you message us on LinkedIn, we receive whatever you send and your LinkedIn profile details. We use them only to reply.
We do not sell personal data. We share it with event sponsors only when you opt in, as described above. Otherwise, the only third parties who handle it are the services named above: GitHub, Google, Luma, beehiiv, Notion and LinkedIn. Some of these services are based in the United States, so your data may be processed outside the UK under their own safeguards for international transfers.
Newsletter subscriptions are kept until you unsubscribe. Application and event records are kept only as long as we need them for that purpose, and we delete records we no longer need. If you withdraw consent for sponsor sharing, we stop sharing your details from then on, but we cannot recall details a sponsor has already received.
Under UK data protection law you can ask to see the personal data we hold about you, correct it, delete it, or object to how we use it. To make a request, message us on LinkedIn. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
